Data Collection: Raw Materials
Raw Materials Import - Tab 2
For the raw materials tab the Raw Material Name, Usage Unit, Supplier Name, Purchasing Price, Order by Unit and Quantity MUST be entered in for all raw materials. Any additional columns are optional but encouraged to add to eliminate manual entry in the future.
Raw Material Name - (Column B)
Raw material name is required in FlexiBake. It is used within a wide array of reports, recipes and purchase orders.
Requirements:
- All raw materials must have a unique name
- Raw material names highlighted dark red indicates a duplicate

Usage Unit - (Column H)
In FlexiBake this is used to specify the quantity of each ingredient required in a recipe, the unit is typically weight-based like lb, kg, or g.
Requirements:
- All raw materials must have a usage unit
- Weight-based units like 'lb' or 'g' are preferred
- The dropdown list has different options you can select for the default usage unit
- Volume based units are also shown. Those are more difficult to use in recipes but this can be achieved. For volume based units we will have to enter a specific gravity for that Raw Ingredient in column S
- If you would like to use a weight-based unit that is not included in this list you can still do so. Just type that unit in manually
Supplier Name - (Column I)
Suppliers are linked to raw materials within FlexiBake for purchasing purposes.
Requirements:
- You must select from the dropdown list. The dropdown list will be populated with all of the Suppliers you add to the "Suppliers" tab in this sheet
- If you purchase the raw material from multiple suppliers choose the supplier you use more often. We can enter additional supplier information manually in FlexiBake.
Purchasing Price - (Column M)
The purchasing price should be entered as the last price you received the raw material at.
Requirements:
- The purchasing price is required for all raw materials
- Whole numbers or numbers with decimals can be used. E.g. 15, 15.5, 15.51
- The currency symbol ($) is not required.
Order By Unit - (Column N)
The Order by unit indicates what kind of unit you order this raw material by (each, case, bag, drum, etc)
Requirements:
- Order by unit is required for all raw materials
- The dropdown list provides the default Order By Units that you can use
- If you order this raw material by a different unit (e.g. "Jar" or "Shaker") you can enter that manually without selecting from the dropdown list. We will then create that unit in FlexiBake first before importing the Raw Materials
- However, for simplicity - you should consider just using the "ea" (each) or "pc" (piece) as the order by unit for any raw material that comes in some type of special container and is also not purchased based on weight/volume
Quantity - (Column Q)
The Quantity indicates how much of the order by unit you order at a given time.
Requirements:
- This column refers to a conversion factor for how you buy the Raw Material vs how you use it in recipes
- E.g. You order a "bag" of flour and that bag is 20lbs
- The Order By Unit is "bag". The default Usage Unit is "lb". The Quantity is 20
Optional Columns:
Code - (Column A)
Internal code for your raw material
Requirements:
- Can include both letters and numbers
Ingredient List Display Name - (Column C)
In FlexiBake raw materials have a name as well as a display name. The ingredient list display name is how the raw material will be displayed on ingredient statements.
Requirements:
- Not required, but recommended if you are planning to use ingredient statements from FlexiBake
Alternate Language Display Name - (Column D)
In FlexiBake, this is how the raw material will be displayed in alternate language ingredient statements.
Raw Material Type - (Column E)
FlexiBake categorizes raw materials in three different types - ingredients, packaging, and supplies.
Requirements:
- Must be selected from the dropdown
- Not required, but recommended
Raw Material Category - (Column F)
Raw material categories are used for filtering purposes in many areas of FlexiBake.
Requirements:
- Raw Materials Categories will be created automatically during Import
- Double check the Raw Material Categories you are using to ensure you aren't creating any duplicates by accident. (e.g. Dry vs Dry Ingredients)
Location - (Column G)
In FlexiBake you can add a location for ease when using raw material count sheets
Requirements:
- Locations will be created automatically during Import
- Double check the Locations you are using to ensure you aren't creating any duplicates by accident. (e.g. Walk-In Cooler vs Cooler)
Supplier Code - (Column J)
Suppliers may have a code for the Raw Material that is different from your own internal code that you use for the Raw Material. This will override on purchase orders to ensure clarity for your vendors.
Requirements:
- Can include both letters and numbers
Suppliers Description - (Column K)
If a supplier description is entered, it will override the raw material name on purchase orders to ensure clarity when sending purchase orders to your vendors. You might want to use this if for example you want to capture more details about the raw material than you want to include just in the Raw Material Name.
Brand - (Column L)
If you order a specific brand, you can specify that.
Specific Gravity - (Column S)
The specific gravity of a material is used by FlexiBake to automatically calculate the weight of added liquids. For volume based units we have to enter a specific gravity
- There is a formula in this column that will check if the Usage Unit you have used for this Raw Material is a Volume based unit. and if so, it will say "Required". You can overwrite that cell with the Specific Gravity. If you need help with this part please reach out to your Implementation Manager.
- Once this cell is changed from "Required" and any other value is put in the fill colour will change from Green to Orange. This would typically be because the Specific Gravity has now been entered.
