Hello everyone! We're here with some exciting news: beginning this Friday, September 6th, we will be kicking off a phased update to the latest version of FlexiBake for all of our cloud users.
The Plan
Our team will reach out in advance to prepare you for the update. They will let you know the date and time that your account will be migrated onto the new server and upgraded to the latest version, along with the steps you'll need to take to log into the new server.
What's in the update?
This update is intense! We've put in a ton of new stuff for you to check out:
New Features

New Company type! You can now create Distributor-type companies and link them to your routes. This allows your drivers to manage their route orders through the online ordering portal.
- Create a shadow order for the distributor to control which products that route can order
- Create a route standing order that can then be managed by the driver in the OOP
- Drivers can also create individual one-off Route Orders through the OOP

If you run multiple warehouses in FlexiBake, you can now assign your users to a specific location. This will result in the user only being able to perform inventory-related tasks for their assigned warehouse and cuts screen clutter by only displaying information like Sales Orders, Route Delivery Slips, etc. that pertain to their location.

You can now implement Purchase Order approvals!
- Create an Approval Plan to determine which purchase orders require approval based on the value of the order. You can define multiple stages of approval, and who and how many users are allowed to sign off for the PO to complete the process. You can even define different plans for different warehouses.
- PO's requiring approval can't be received until they've been approved.
- Once a PO has been submitted for approval, emails will be sent to the users with the ability to approve it to notify them. If using more than one stage of approval, once a stage is completed then the users who can sign off on the next stage will be notified.

Maintain Purchase Orders will display a column for approval status and has a fancy new approval status filter to help find what you're looking for.
- If you operate 2 brands, companies or facilities in separate FlexiBake database, but one will order stock from the other, we've get a cool new tool for you to help cut down data entry. We've added the ability to automatically create a sales order remotely in the supplying data based on the PO created in the purchasing database.
- Generate raw material Inventory Transfer Requests based on production requirements. If you use remote warehouses to hold some of your raw materials, you can use this new tool to evaluate the production you have scheduled over a date range, check the inventory on hand at that production facility and create ITRs to transfer available inventory to your facility to cover any shortfalls
- You can now assign a default production Team to your products in the Production tab. When this is set, the assigned team will be suggested when manually scheduling a product for production (you can change it if needed), or will be used when using the Schedule All button.
- We've added a new Baker's Sheet report to Schedule Production! The button will appear in Schedule Production when set to the 1-day calendar view

Schedule Production users, rejoice! The new Close Production Day tool allows you to close production items in bulk for a given production date. This tool will consume ingredients on a First-In First-Out basis and consume the full amount required, allowing you to compromise the detailed scheduling of Schedule Production with the speed of Enter Production!
- We're rolling out a new crate tracking system. In this first phase you'll get the following:
- You can now create multiple crate types to track independently
- View a transaction history for crates, with the ability to filter by date range, warehouse, route and crate type.
- Adjust the crate inventory/balance for your warehouses, routes and customers using the Crate Adjustment. This is great to record newly purchased crates, loss to damage or wear, and write-offs.
- Assign products to a certain crate type and indicate how many units fit per crate. FlexiBake will use this information to determine how many crates are needed for a truck's load using the Generate Crate Estimates tool in Generate Route Delivery Slips

New versions of the Crate Balance Detail by Customer, Crate Balance Detail Report, and Crate Balance Summary reports are included to give you the same reporting for this new level of detail.
- Load Sheet Report will indicate the number of crates required for a truck's load.

If you use the Zero-Quantity Standing Order feature to create empty sales orders for your order desk to fill out quickly as they field customer calls and emails, you may wish to get rid of any of those empty orders that don't end up being used. You can enable the new Void zero quantity Orders setting to have FlexiBake automatically clean up any sales orders that don't have at least one line items with a non-zero quantity. This process will happen while you generate your Route Delivery Slips, meaning no extra steps for your team. Check it out in the Route deliveries tab of FlexiBake Preferences.
Improvements
- Assign your routes to ship from a specific location in Edit Routes
- When posting Route Delivery Slips, each route will consume inventory from its ship from location, regardless of if it ships from a warehouse/distribution centre or a production centre.
- Manage Routes can be filtered by Warehouse, as can Maintain Route Delivery Slips
- Multiple Facility Enter Production functionality has been completed!
- Sales Order quantities will populate based on the Ship From location set on the sales orders
- Route Order quantities will populate based on the route's Ship From Location

- The Auto Schedule Recipes in Schedule Production has been beefed up: this tool will now schedule all required recipes along the production chain so that one click gives you everything you need to produce the scheduled products from start to finish. recipes required by more than one item will be condensed into one production item.
- Purchase Orders were jealous, so we gave them their own Ship To Location. This will automatically populate the receiving slip when receiving the PO.
- Generate Purchase Orders also got some TLC: We've enhanced this tool to better serve those using multiple Production facilities
- You can now generate POs for multiple production facilities in bulk; you can create individual POs for each facility or consolidate them into one bulk order shipping to a particular warehouse

Improved options for considering inventory on hand - choose between ignoring your current inventory, only considering the inventory at the facility in question or consider all inventory at all of your locations!
- Consolidated Packing Report New + Updated Items - FlexiBake was clearing out the previous print quantities based on the date the order was placed. We've changed this so that this clean up is done based on the delivery date so that it protects the data for orders placed far in advance.

Accounting Module Preferences - We've updated the layout for the Generic SQL export option to allow for default GL accounts

Generic SQL Accounting Export now includes the customer DUNS Number
- Added a Product Category filter to the Inventory Transaction History Summary
- Production Summaries - Period-End Take On IA slips were contributing to the Added/Removed columns, the adjustment amount is now being attributed to the Adjustment column.
- Production Summaries tool will now include the date range selected and the warehouse that the data is for in the header when printing or exporting the grid.
